Pay consignors straight to their bank with Rose Pay
Rose Pay sends consignor and vendor payouts by ACH bank transfer from the store's bank account to their own bank account, one at a time or as a batch. The money is moved by Dwolla, our payments partner. For store owners and staff, and for consignors and vendors who want to be paid to their bank.
In Rose and myPortalRose Pro
Open the Rose Pay settingsRose
Go to Administration → SETTINGS.
Scroll down to PAYOUTS - QUICKBOOKS AND ROSE PAY (ROSE PRO), above the PrintNode settings.
The second box is ROSE PAY - PAY CONSIGNORS STRAIGHT TO THEIR BANK (ACH, BY DWOLLA).
Shortcuts: Set up next to Rose Pay on the Dashboard's Money card, or the cog icon next to PAYOUT and BATCH PAYOUT in Contracts.
The Status: line tells you where you are, for example "not set up", "verification in progress", "business verified, bank ... waiting for the 2 small deposits, Rose Pay off" or "..., ROSE PAY ON".
If the box says it is waiting for Consignor Connect, Rose Pay is not available yet. Contact Consignor Connect support.
Set up Rose Pay for your storeRose
The store is verified as a business with Dwolla, then its bank account is linked. Each step opens Dwolla's own secure form inside Rose.
Click 1. VERIFY THE BUSINESS and fill in Dwolla's form (business details, EIN and the controller). Accept the terms and click through to the end. Rose shows SAVED WITH DWOLLA.
If Dwolla asks for them, click 2. BENEFICIAL OWNERS and add the owners.
Click 3. LINK THE BANK ACCOUNT and enter the store's bank account. Dwolla sends two small deposits to it, usually within a day or two.
When the deposits arrive, click VERIFY THE 2 DEPOSITS and enter the two amounts.
Once the business and the bank are both verified, click 4. SWITCH ROSE PAY ON. You see ROSE PAY ON - IT IS NOW A PAYMENT TYPE FOR CONSIGNORS WITH A BANK.
Tell your consignors and vendors to add their bank in myPortal (see below).
Click REFRESH STATUS at any time to read the latest verification and bank status from Dwolla.
After the business is created, the first button becomes BUSINESS DETAILS / DOCUMENTS. Use it if the status says Dwolla needs the details again or needs a document.
2. BENEFICIAL OWNERS and 3. LINK THE BANK ACCOUNT stay greyed out until the business has been sent to Dwolla. 4. SWITCH ROSE PAY ON stays greyed out until the business and the bank are both verified.
If Dwolla suspends the account, the status says so: contact support.
Consignors and vendors: add your bank in myPortalmyPortal
The ROSE PAY tile appears only when your store has Rose Pay switched on.
Sign in to myPortal and click the ROSE PAY tile under QUICK ACTIONS.
The ROSE PAY - GET PAID TO MY BANK window opens. Tick the box to agree to Dwolla's Terms of Service and Privacy Policy.
Click ADD MY BANK ACCOUNT.
Enter your bank's routing number and your account number in Dwolla's form and finish it. You see BANK ADDED - YOUR STORE CAN NOW PAY YOU WITH ROSE PAY.
Your bank numbers go straight to Dwolla. They never pass through or stay in Rose or myPortal.
Your account needs an e-mail address for Rose Pay.
Once a bank is added, the window shows "Payouts go to:" and the bank's name.
To change it, click USE A DIFFERENT BANK and add the new one.
To stop being paid by Rose Pay, click REMOVE THIS BANK. You see BANK REMOVED - YOUR STORE WILL PAY YOU ANOTHER WAY.
Pay one consignor with Rose PayRose
Go to Contracts, select the contract and click PAYOUT.
Leave PAYOUT.METHOD as PAYOUT (or choose PARTIAL PAYOUT and type the amount).
In PAYMENT.TYPE, choose ROSE PAY. The CHECK/ELECTRONIC.NUM box is greyed out: Rose Pay needs no check number.
Click MAKE PAYMENT.
ROSE PAY appears in PAYMENT.TYPE only when Rose Pay is switched on for the store.
If the consignor hasn't added a bank, Rose stops with THIS CONSIGNOR HASN'T ADDED A BANK FOR ROSE PAY IN MYPORTAL. Pay them another way.
The amount must be above 0.00.
The payout is made in Rose straight away. The bank transfer is sent within about a minute and usually arrives in 1 to 3 business days.
IN-STORE PURCHASE has no payment type, so it can't use Rose Pay.
Pay many consignors at onceRose
Go to Contracts → BATCH PAYOUT and add the consignors to pay.
In PAYMENT TYPE, choose ROSE PAY.
Click PREVIEW to check, then PAY OUT.
Consignors who haven't added a bank are skipped, with the reason in the result list. They stay in the list so you can pay them another way.
The result title shows how many were paid and how many were skipped.
Follow a payoutRose
On a contract's PAYOUT page, the QUICKBOOKS / ROSE PAY column of the payout receipts shows: "waiting to send", "sent - on its way (1-3 business days)", "paid to the bank", "cancelled" or "FAILED: ..." with the reason.
In Administration → SETTINGS, RECENT ROSE PAY TRANSFERS lists the last 50 transfers with WHEN, CONTRACT, AMOUNT, STATUS and BY (who made the payout). Statuses there are QUEUED, PENDING, PROCESSED, FAILED and CANCELLED.
If Dwolla is briefly unreachable, Rose tries the transfer again by itself. A transfer is never sent twice.
When a transfer fails or is returnedRose
For example a closed or wrong bank account.
Rose undoes that payout automatically: its sales are unpaid again and the amount goes back on the balance due.
Staff see a 💸 ROSE PAY pop-up, "Rose Pay payout failed", with the amount, the contract and the reason.
Pay that consignor another way, or ask them to check their bank in myPortal.
A transfer also fails if Rose Pay was switched off, or the consignor removed their bank, before it was sent. The payout is undone the same way.
Undo a Rose Pay payoutRose
Open the contract's PAYOUT page and click PAYOUT RECEIPTS / UNDO.
Click UNDO on the payout and confirm.
This works while the transfer hasn't gone, or while Dwolla can still cancel it. The transfer is cancelled and the payout is undone.
Once the money has reached the consignor's bank, Rose says THE ROSE PAY TRANSFER HAS ALREADY REACHED THE CONSIGNOR'S BANK - IT CAN'T BE UNDONE.
If Dwolla can't cancel it any more, Rose says the transfer is probably already on its way and the payout stays.
Switch Rose Pay offRose
In the Rose Pay box, click SWITCH ROSE PAY OFF. You see ROSE PAY OFF.
ROSE PAY disappears from PAYMENT.TYPE and the ROSE PAY tile disappears from myPortal.
Transfers not yet sent fail, and their payouts are undone automatically.
Your business verification and linked bank are kept, so you can click 4. SWITCH ROSE PAY ON again at any time.
Rose also switches Rose Pay off by itself if Dwolla's verification of the business or the bank is no longer in place.

Questions
How long does a payout take?
Usually 1 to 3 business days from when you make the payout.
Why isn't ROSE PAY in the payment types?
It only appears once the store's business and bank are verified and Rose Pay is switched on in Administration → SETTINGS. If it is there but Rose refuses the payout, that consignor hasn't added a bank in myPortal yet.
Can I add a consignor's bank details for them in Rose?
No. Consignors and vendors add their own bank in myPortal with the ROSE PAY tile, so their bank numbers go straight to Dwolla.
Can I undo a Rose Pay payout?
Yes, until the transfer has gone out: UNDO cancels it. Once the money has reached the consignor's bank it can't be undone in Rose.
What if a transfer fails?
Rose undoes the payout automatically (the sales are unpaid again) and shows a ROSE PAY pop-up, so you can pay that consignor another way.
Does it work with QuickBooks?
Yes. With QuickBooks connected and ROSE PAY ticked next to RECORD:, Rose Pay payouts are recorded too.
