Use the File Manager: folders, signed contracts and exports
The File Manager holds your store's saved files: exports, reports and every signed contract and receipt. Signed copies go into a folder for each contract, and you can create, rename, delete and link folders and move files between them.
In RoseAll stores
Open the File ManagerRose
Open the side menu (☰) and click File Manager.
The FILE MANAGER window opens on ALL FILES: your folders first, then the files saved at the top level.
It also opens by itself after you save something there, for example EXPORT TO FILE MANAGER on a print preview, or saving a report as Excel in Reports.
Columns: NAME, CONTRACT (the contract a folder belongs to), SIZE, MODIFIED and ACTIONS.
Click Close to go back to where you were.
Open a folder and download a fileRose
Click a folder's name, or its open-folder button in ACTIONS.
The bar at the top shows the folder name and, if it has one, its contract number.
Click the download button next to a file to save it to your computer.
Click ALL FILES to go back to the top level.
Tip: Signed contracts and receipts are saved in a folder called "Contract" plus the contract number, for example "Contract 1001". Rose creates the folder the first time something is signed for that contract.
Create a folderRose
On ALL FILES, click NEW FOLDER.
Type a Folder name and click CREATE (or press Enter).
Folder names can use letters, numbers, spaces and - _ # . ( ).
Two folders can't have the same name. Rose tells you if the name is already used.
Folders sit at the top level only. You can't create a folder inside another folder.
Rename a folder or link it to a contractRose
To rename: click the edit button on the folder's row (or RENAME inside the folder), type the New name and click RENAME.
To link: click the contract-card button on the folder's row (or CONTRACT inside the folder), type the Contract number (blank = none) and click SAVE.
A renamed folder keeps its contract, and signed copies inside it keep working.
When you give a folder to another contract, the signed contracts in it move to that contract too. They then show on that contract and in that consignor's myPortal. Rose tells you how many moved.
Leave the contract number blank to unlink the folder from any contract.
Rose checks the contract exists and says "NO CONTRACT #..." if it doesn't.
Tip: Use this to fix a mistake, for example when a contract was signed under the wrong account.
Move a file to another folderRose
Click the move (arrows) button next to the file.
Pick a folder in To folder. Choose ALL FILES (top level) to take it out of a folder.
Click MOVE.
Tip: If a file with the same name is already in that folder, Rose won't move it.
Delete a file or a folderRose
To delete a file: click the trash button next to it and confirm.
To delete a folder: click the trash button on its row (or DELETE FOLDER inside it). Rose tells you how many files are in it, then deletes the folder and all of them.
Tip: Deleting can't be undone. Signed contracts still stay on the contract and in myPortal, because Rose keeps its own copy there.

Questions
Where do signed contracts go?
Into the contract's folder, for example "Contract 1001", as a PDF. Signed contracts also get a web-page copy there. They are also listed on the contract under ALTER → DIGITAL CONTRACT.
Can I upload my own files into the File Manager?
Not from the File Manager window. Files get there when Rose saves them: signed contracts and receipts, EXPORT TO FILE MANAGER on print previews, and report exports.
I deleted a contract's folder. Is the signed contract gone?
No. The signed copy stays on the contract (ALTER → DIGITAL CONTRACT) and in myPortal if it was shared. The next time something is signed, Rose creates the folder again.
A contract was signed under the wrong account. How do I fix it?
Open the File Manager, click the contract button on that folder's row and type the right contract number. The signed copies move to that contract. You may want to rename the folder to match.
Why can't I see File Manager in the menu?
Your user doesn't have the File Manager right. Ask someone who can open User Maintenance to tick it for you.
